Avio

See the state of your subscription business the moment you log in

Avio's dashboards put live orders, lapsing subscriptions, renewals due and circulation by title on one screen, with a separate dashboard for corporate accounts.

The Avio main dashboard showing live orders, lapsing subscriptions with value last billed, new orders and order value per month, and live circulation by title

Most subscription teams start the day the same way. Someone runs a report, someone else checks a spreadsheet, and by mid-morning you've got a rough idea of how many orders came in and what's about to lapse. By then it's out of date.

Avio's dashboard does that work before you've had your coffee. Log in and the state of the subscription business is right there: what's live, what's lapsing, what's renewing and where your readers are.

The main dashboard

The top of the screen answers the question everyone asks first: how many live orders have we got? Avio counts orders with a live order line, the people they reach (linked users included) and the total on file.

Next to that sit the lapsing figures. You see how many subscriptions lapse in the next 30 days, 90 days, 120 days and six months, each with the value last billed. That's the money at risk, in pounds, not just a count of names. It's the number your renewals team needs to see every morning.

Sales over the last 12 months

Two charts show new orders per month and order value per month, with a 12-month trend. Order value is goods plus VAT less discount, taken from the order lines. In other words, it's what was ordered, not what the sales ledger recognises, and the dashboard says so. Your finance team will appreciate that honesty. For revenue recognition, the month-end pack is the place to go.

Live circulation by title

Every title gets a bar with its live circulation, split into orders, linked users and requests. If you run several titles or product families, you can see at a glance which ones are growing and which need attention. For point-in-time circulation figures and deeper breakdowns, jump into audience selection.

Further down the page

Scroll down and the dashboard keeps going.

  • Renewals by month: orders due for renewal each month for the year ahead, with the value last billed.
  • Data quality: a summary of outstanding issues, such as gone-aways and contacts with no email.
  • Work queue: the team's open customer service tasks.
  • Geography: where your audience is.
  • Jump back in: the records you opened recently, so you can pick up where you left off.

Renewals due by month, circulation by title and data quality

The data quality panel is there for a reason. Gone-aways and missing emails quietly eat into circulation and campaign results. Seeing the count every day keeps it on someone's list. The tools to fix them are covered on the data quality page.

Fast, and honest about when it was taken

Dashboard figures are cached so the page loads quickly, even on a big database. Each panel shows when its figures were taken ("Figures as at 7 Oct, 09:15", for example), and a refresh link recalculates on demand. You never have to wonder whether a number is from this morning or last week.

A dashboard for corporate accounts

If you sell site licences and multi-seat subscriptions, there's a second dashboard just for them. It shows linked users under licence, licence and seat counts, enterprise references, the renewal pipeline of seats at risk and the corporate base by title, plus a searchable list of every corporate account. We cover it in detail on the corporate subscriptions page.

When you need more than a dashboard

Dashboards are for the headline. When you want to ask a specific question (how many qualified readers in Scotland hold two titles, say), audience selection gives you counts and analysis in seconds. When finance want the month-end figures, the finance tools produce a full month-end pack in one run.

And if you want dashboards of your own design, Avio data can be connected to Metabase for self-serve BI. Our team sets it up. More on that under reporting and BI.

Who uses this

Everyone, really. Circulation managers watch live circulation by title. The renewals team watches what's lapsing. Customer service keep an eye on the work queue. Directors like the 12-month sales trend because it answers "how are we doing?" without anyone having to build a spreadsheet.

If you're comparing systems, our guide to choosing subscription software for publishers has a few questions worth asking any supplier, us included. Or book an Avio demo and we'll show you the dashboard with a realistic data set.

Questions

Are the dashboard figures live?

They're cached so the page loads quickly, and each panel shows when the figures were taken. One click on refresh brings them up to date.

Is there a separate view for corporate and site-licence accounts?

Yes. The corporate subscriptions dashboard shows linked users under licence, licence and seat counts, seats at risk and the corporate base by title. See corporate subscriptions.

Does the order value chart match the sales ledger?

Not by design. It shows what was ordered (goods plus VAT, less discount, from the order lines). The finance tools give you what the ledger recognises.

Can we build our own dashboards as well?

Yes. Avio data can be connected to Metabase for your own dashboards and self-serve BI, set up by our team. See reporting and BI.
