In a lot of publishers, the subscription system and the mailing file live in different worlds. Someone exports a list, someone else tidies it in a spreadsheet, and it goes to the mailing house. Every step in between is a chance for a lapsed reader to get a copy, or a paying one to miss out.

Avio keeps fulfilment next to the subscriber. Issues, galleys, gone-aways and missed copies are managed in the same system as the orders that pay for them.

Issue schedules

Every product has its own issue schedule. You can add issues one at a time, but you don't have to: Avio can generate a year's issues automatically and copy schedules forward to the next year. Schedules can be exported too.

Getting the schedule right matters more than it seems. Subscriptions in Avio can be measured in issues, and finance reports work out value per issue and revenue released this issue for deferred revenue. If the schedule's right, the money follows.

Galley upload

Upload the galley file for each product, with its cover and publication dates, and Avio processes it against the right product and issue. Uploaded galley files are listed so you can see what's been done.

Issue-run selection

The mailing file for each issue is picked with the same tools you use for audience selection. That means the people you count for circulation and the people you send copies to are drawn from the same data, with the same rules. No separate list to drift out of step.

Gone-aways

When post comes back, flag it quickly in Gone-away Processing. Print and digital gone-away flags are separate, because a reader whose magazine is returned may still be perfectly reachable by email. When the address is fixed, the flag clears.

Gone-aways cost real money: print, postage, and an inflated circulation figure that won't survive an audit. The data quality tools help keep them down, and the dashboard shows how many you have. For the bigger picture, read gone-aways and why they cost you.

Missed copies

Copies go missing. When a reader calls to say theirs didn't arrive, record the missed copy against their record. The customer service team can see the history next time they call, and you can export replacement copies by date range, ready to send.

If it keeps happening to one reader, the history shows it, and you can extend their subscription by an issue or two as goodwill.

Renewal batches for print and mail

Fulfilment isn't only copies. Renewal batches are tracked from open to despatched to closed, and each batch can be exported for print or mail fulfilment. Same idea: the people being chased are the people the system says are due.

Getting files to your mailing house

We've connected Avio to fulfilment and mailing houses by secure file transfer, so files don't have to travel by email attachment. If you work with a mailing house already, tell us how they like to receive data and we'll talk it through.

Digital editions too

Fulfilment isn't just print. If you publish digital editions, our digital editions bureau produces them with FlippingBook, and Avio's digital gone-away flags and IP-based access cover the subscriber side.
