Adeptis

One publishing CRM for readers, advertisers and prospects

Every reader, advertiser contact and prospect in one searchable place, with the circulation, consent and activity history a publisher actually needs.

Most small publishers keep their people in four places. Readers in the circulation spreadsheet, advertisers in someone's inbox, prospects in a list bought years ago, and consent in a form nobody can find. Ask "what do we know about this company?" and it takes an afternoon.

Adeptis puts all of them in one publishing CRM, over the same database as your circulation, content and advertising. So when you open a contact, their circulation requests, subscriptions, email lists and consent are already there. Nobody has to copy anything across.

Contacts: every reader and buyer in one place

The contacts list is built for a big base. Search runs on the server, so it stays quick across 100k+ records, and there's an A to Z bar and paging for when you'd rather browse. Any filtered view exports to CSV.

Open a contact and everything sits in tabs:

  • Overview: details, address, social links and bio.
  • Activity: a timeline of calls, meetings and emails, with callbacks.
  • Related: other contacts linked to this one.
  • Circulation: their controlled-circulation requests.
  • Subscriptions: paid or complimentary, print or digital.
  • Email lists: which lists they're on.
  • Demographics: their answers to your qualifying questions.
  • GDPR: what they've agreed to, by channel.

Tags go on inline, with suggestions so the same thing doesn't get spelt three different ways. Location tags (region, county and postal zone) are worked out from the postcode automatically, so nobody keys them in. And when post comes back or someone moves on, there's a button for each: mark gone away, or flag as left.

Controlled circulation lives on the contact

For a B2B title, the circulation request is what matters at audit time. Adeptis captures each request against the contact with its audit classification, request type and method. That's the raw material for the Circulation Age report and ABC priority tiers, and for every audience selection you build later.

Because it's the same record, there's no exporting from a CRM into a circulation system and back again. Change an address once and it's changed everywhere.

Companies: built for B2B media

A company in Adeptis is more than a name and a switchboard number. It's who they are, who works there, what they advertise and what you've written about them.

A company record, with advertising and editorial history in tabs
  • Search, sort and filter the whole company base, and export to CSV.
  • More than one sales rep per company.
  • Customer or agent typing, with an agent discount where it applies.
  • A gone-away toggle for companies that have closed or moved.
  • An Advertising tab listing every advert with its views, clicks and click-through rate, linking to the full report in advertising.
  • An Articles tab showing the stories you've tagged them in through the news CMS.
  • Email-notification recipients: the people who should hear when a story about them is published.
  • A network profile for a public supplier directory, with a blurb, literature, video and web address.

That's the view a sales rep wants before a call. What they've booked, how it performed, and what the editorial team has said about them lately.

Small things that save a lot of time

The navigation remembers where you were. Filter a list, open a record, click Back, and you're on the same filter and the same page. It sounds minor until you've lost your place in a long list for the tenth time in a day.

Duplicates creep in, especially when people arrive through web forms, online orders and imports. The de-dupe tools on the circulation and data quality page merge every related record in one go and keep the history, so nothing quietly disappears.

How it fits with the rest

The CRM is the middle of Adeptis. Selections read from it, subscriptions hang off it, email insight turns clicks into a list of interested companies, and prospecting adds new people at companies you already know without buying lists. Who can see what, and how consent is recorded, is covered under security and GDPR.

Running a larger group with corporate licences, multi-currency sales and finance-grade accounting? Avio, for larger publishers and groups, has a single customer view built for those volumes. If you're not sure which one you are, Avio or Adeptis sets out the difference.

Questions

How many contacts can Adeptis handle?

Search runs on the server and is built for a large contact base of 100k+ records. If you're a group with far heavier volumes, Avio is probably the better fit, and we'll say so.

Does the CRM record GDPR consent?

Yes. Consent is recorded per media group, for internal and third-party use, by channel (email, post, phone and SMS). There's more on the security and GDPR page.

Can more than one sales rep look after a company?

Yes. A company can have several sales reps, so shared accounts don't fall between two people.

Can we get our data out?

Yes. Any filtered view of contacts or companies exports to CSV.
